How to Set Up a POS System for Your Shop

Setting up your POS, step by step

    Choose your hardware

    Decide what you actually need for your shop: a tablet or terminal, a receipt printer, a cash drawer, a card reader and, if you sell many items, a barcode scanner. A small boutique may run fine on a tablet and card reader; a busy grocery benefits from a scanner and a proper till. Buy for how you sell, not for the biggest setup.

    Load your products and prices

    Enter your products with clear names, prices and (ideally) barcodes or SKUs. Group them into categories such as drinks, snacks or clothing so reports are meaningful. Accurate prices here mean staff never have to guess or key in amounts by hand.

    Set your VAT

    Configure the UAE standard VAT rate of 5% so it is calculated automatically on taxable items. Mark any zero-rated or exempt items correctly. Decide and set whether your shelf prices are VAT-inclusive, and make sure the system shows the VAT clearly — this keeps your receipts and your VAT 201 return accurate.

    Set up your receipts

    Add your business name, address and TRN to the receipt template, along with anything else customers expect. A compliant, professional receipt builds trust and gives you the tax record you need. Choose whether to print, email, or offer both.

    Train your staff

    Walk your team through ringing up items, applying discounts, taking card and cash payments, and handling refunds and voids. A short hands-on session before opening prevents queues and mistakes when real customers arrive.

    Do a test sale

    Ring up a few real products as if you were a customer. Check the price, the 5% VAT, the total, the change calculation and the printed receipt. Process a test card payment and a test refund so you know both work end to end.

    Go live

    Once the test sale checks out, open for business. Keep an eye on the first day's sales and end-of-day totals, and fix any small pricing or category issues while they are still easy to spot.

Getting VAT right at the till

VAT errors at the point of sale ripple into your accounts and your VAT 201 return, so it is worth a little extra care. Make sure the standard 5% is applied to taxable goods and that any zero-rated or exempt lines are flagged, not just priced differently.

Be clear internally about whether your displayed prices already include VAT. Consumers usually see VAT-inclusive prices, and your POS should calculate and record the VAT portion behind that price so your reports are correct. If in doubt about how a particular product is treated, confirm with the FTA or a tax adviser.
